In this role, you will serve as the administrative backbone of our local workspace, ensuring smooth workplace logistics, supporting daily administrative tasks, and fostering a positive team environment.
This position is ideal for a hands-on professional who excels at multitasking, possesses strong communication skills, and enjoys handling a diverse range of operational, administrative, and employee-experience tasks.
Key Responsibilities Office Operations & Maintenance: Support day-to-day office operations to ensure the workplace is clean, well-organized, welcoming, and fully functional.
Vendor & Facility Support: Act as a local point of contact for daily vendor visits, property management, and maintenance requests; report and track facility issues.
Supplies & Inventory: Monitor and manage inventory for office supplies, snacks, beverages, and mail; place orders and restock in a timely manner.
HR & Onboarding Assistance: Support HR with local employee onboarding logistics, including preparing workspaces, issuing access badges, and distributing equipment.
Events & Culture: Help plan and execute local office team-building activities, cultural events, holiday celebrations, and team lunches.
Executive & Travel Support: Coordinate meeting room bookings, arrange travel and lodging, and assist with expense reports for local team members and visiting executives as needed.
General Administrative Support: Handle incoming/outgoing mail and packages, assist with basic local invoicing and receipt collection, and maintain clean digital and physical records.
Qualifications Associate’s or Bachelor’s degree in Business Administration, Hospitality, or a related field (or equivalent practical experience).
2+ years of experience in administrative support, reception, customer service, or workplace operations (startup or fast-paced corporate experience is a plus).
Fluency in both English and Mandarin is required.
Excellent organizational and time-management skills with strong attention to detail.
Friendly, professional, and service-oriented interpersonal skills.
Proficiency with modern workplace productivity tools, including Google Workspace (Gmail, Calendar, Docs, Sheets) and Microsoft Office.
Resourceful, proactive, and able to work independently with minimal supervision.
Adaptable and capable of handling confidential corporate information with absolute discretion.
